Terms and Conditions for Guided Tours

Booking confirmation: A guided tour is only considered booked when payment is fully processed. This ensures your spot on the tour. We accept only major credit/debit cards: Visa, Mastercard, and Maestro. For walk-in customers, we also accept cash in Danish Kroner. All prices listed in our booking system include VAT at a rate of 25%.

Cancellation, Rebooking, and Refund Policy: Requests for rescheduling or cancellation can be made up to 72 hours before the start of the guided tour, with a full refund. Cancellations made less than 72 hours in advance will not be refunded, though you may contact us to request a reschedule, subject to availability. Cancellation and rescheduling requests must be made by email to tours@becopenhagen.dk and are not final until confirmation is received from us. We do not offer partial refunds on group bookings if fewer members attend than originally planned when announced less than 72 hours in advance.

Tour Modifications and Cancellations by beCopenhagen: beCopenhagen reserves the right to refuse participation to anyone before any tour and reserves the right to cancel a tour for any reason and refund the payment to the affected guests. In this case, the guest will immediately be informed, and all payments made will be refunded. In case of incidents beyond our control, such as violence, demonstrations, strikes, accidents, or illness of the tour guide, beCopenhagen reserves the right to discontinue a tour at any time. In this case, a partial refund of the tour price for the remaining part of the tour will be made.

Responsibility and Weather: beCopenhagen cannot be held responsible for unfavorable weather conditions. Therefore, the participant cannot claim a refund for the tour due to weather conditions. The tour will only be cancelled due to weather if authorities advise against going outdoors.

Arrival Time: It is the responsibility of the participant to be at the designated tour location on the correct date. Participants using our rental bikes must arrive 15 minutes before a public tour starts for bike fitting. Participants bringing their own bikes only need to arrive 5 minutes before the start time. For private tours, guests may arrive at their convenience, but the tour will end strictly at the scheduled time. If participants are late according to these terms, beCopenhagen reserves the right to cancel the booking without refund or compensation. Please call us immediately if you are running late.

Rejected participation: beCopenhagen reserves the right to deny participation, with a full refund, if the participant is incapable of driving a bicycle, noticeably intoxicated, under the influence of behavior-altering medication, or deliberately disrupts the experience of other guests. This can also occur while the tour is in progress, potentially with a partial refund, depending on the reason and the guest’s attitude.

Force majeure: In case of force majeure, including, but not limited to, natural disaster, civil unrest, strike, and public health emergencies, preventing the guided tour or the customer from arriving at the tour start, beCopenhagen cannot be held responsible and will not make a refund.

Agreement: By making a booking and/or participating in a guided tour with beCopenhagen, you confirm that you have read, understood, and agreed to these Terms and Conditions.

Terms and Conditions for Bike Rental  

Booking confirmation: A bike is only considered booked when payment is fully processed. This ensures that your bike is reserved and waiting for you upon arrival. We accept only major credit/debit cards: Visa, Mastercard and Maestro. For walk-in customers, we also accept cash in Danish Kroner. All prices listed in our booking system include VAT at 25%.

ID Verification: You do not need to leave a security deposit. However, please bring a valid ID (any form of identification is acceptable) so we can verify that your identity matches the booking information.

Rental hours and Pick-up: You can pick up a reserved bike or walk in to rent a bike any day between 09:30 and 15:00. The minimum rental duration is 24 hours.

Pick-up and return: All bikes must be picked up from and returned to our shop at Fortunstræde 1, Copenhagen. We operate a 24-hour self-return system. If you return the bike outside of our staffed hours (after 15:00), place it in the bicycle parking across the street, lock it properly, and drop the key (plus phone holder and lights) in the mail slot in the front door. Take a picture of the locked bike and the loose items and send it to rental@becopenhagen.dk.

Range: Our regular adult bikes, child bikes, cargo bikes, mountain bikes and e-bikes are intended for cycling in the greater Copenhagen area (approx. 20 to 30 km radius). If you want to go further, we recommend the touring bikes.

Refund: If you do not show up to collect your booking or use only part of the reserved time, we do not offer a refund for the unused period. Cancellations with a full refund are accepted up to 72 hours before the scheduled pickup time.

Responsibility: beCopenhagen is not responsible for punctures and other damages that occur after you have left the shop, nor traffic accidents, or bad weather. During our opening hours, you are welcome to come to the shop to exchange a bicycle (or get a quick repair if no other bicycles are available).

In case of an incident, we cannot pick up the bike at any other location for repair. Regardless of circumstances, the bike must be returned to the shop. If we need to collect the bicycle from anywhere else, you will have to pay the costs.

By renting a bike from beCopenhagen, the renter acknowledges and accepts full responsibility for any injury, accident, loss, or damage that may occur during the rental period, whether to themselves, others, or their belongings. The renter agrees to indemnify and hold harmless beCopenhagen, its owners, and employees from any claims, liabilities, or expenses arising out of the use of the rented bicycle. We urge everyone to cycle carefully and responsibly, and please get yourself acquainted with the Danish traffic rules. You are responsible for keeping the bike in good condition while it is in your care.

Checklist: It is the customer’s responsibility to inspect the bikes before departure. Even if our staff will do their utmost to give you a bike that is flawless, there is always a risk we missed something. Therefore, please go through our checklist before you leave the shop:

Bike Condition: By accepting the bike, the renter agrees it is in satisfactory working condition. Any concerns must be reported immediately upon pick-up.

Helmet Use: Helmets are available upon request at a minor charge, but are not mandatory under Danish law. Not wearing a helmet is at your own risk.

Prohibited Use: Bikes may not be used for racing, off-road riding, carrying passengers (except Cargo Bikes and bicycles with child seats or toddler seats, up to the recommended weight), towing, stunts, or any unlawful activity. The renter may not sublet, loan, or otherwise allow another person to use the bicycle during the rental period.

Insurance: We do not offer insurance for unforeseen costs or emergencies. Please check your own (travel) insurance before renting a bike. As the hirer, you are responsible for damages, theft, or loss, and may be charged up to the full value of a new bike.

Replacement Costs:

Regular bike: DKK 4.500

Kid’s bike: DKK 3.200

Christiania cargo bike: DKK 15.000

Bike with child seat: DKK 5.500

STRiDA folding bike: DKK 4.500

Electric bike: DKK 14.000

Lost key: DKK 250

All bikes come with high-quality locks and chains.
(Please note that the prices listed above are subject to change and may differ from the final prices at the time of rental.)

Extension of Rental: If you wish to extend your rental, visit the shop before the rental expires. Extensions are subject to availability and additional charges.

Late fee: If you return the bike later than agreed, we will charge a full extra day.

Cancellation and rebooking: All cancellations and rebookings must be made 72 hours in advance to our email rental@becopenhagen.dk.

Your personal data: When you provide your personal details in connection with an order, they are securely stored in our database. We want to assure you that your data is treated with the utmost respect and care. beCopenhagen will never sell or transfer your personal data to third parties. By making a booking with us, you consent to the processing and storage of your personal information in compliance with applicable data protection laws, including the General Data Protection Regulation (GDPR), which ensures your right to privacy and the protection of your data.

Force majeure: In case of force majeure, including, but not limited to, natural disaster, civil unrest, strike and public health emergencies, preventing the bike rental or the customer from arriving at the shop, beCopenhagen can not be held responsible, and will not make a refund.

Agreement: By making a booking and/or renting a bike from beCopenhagen, you confirm that you have read, understood, and agreed to these Terms and Conditions.
